Booking, Payment and Cancellation

Everything here applies to group retreats, private retreats, healing intensives, the casita, single sessions, classes, courses and outdoor experiences. Where one of them differs, it is marked. If anything below is unclear, ask me before you book rather than after.

Retreats here are small. Group retreats are usually four to eight people and never more than eight, and a private retreat is your dates and nobody else's. A retreat holds whole days of my calendar, and one place is a meaningful part of it that is rarely possible to fill at short notice. For that reason I do not offer cash refunds on retreats, sessions, classes or courses. What I offer instead is credit, and I offer it generously. A healing intensive is the one exception, and it is set out in its own section below. Single sessions and outdoor experiences are different. Most of the people who book them are visiting Sedona for a few days, and there is usually no other time to move to, so with 48 hours' notice I refund the deposit instead.

Booking and Payment

  • A 50 percent deposit reserves your place.

  • For group retreats, the balance is due 45 days before the retreat begins.

  • For private retreats, the balance is due 45 days before your first day.

  • If you book inside 45 days, full payment is due at the time of booking.

  • For a healing intensive, the balance is due on the day, before we begin.

  • For single sessions and outdoor experiences, a 50 percent deposit reserves your time and the balance is paid after the session.

  • Seats in group classes and group sound baths are paid in full when you book.

  • Zelle, Checks, and Venmo are preferred. Card payments carry a 3 percent processing fee.

Group Retreats

46 days or more before the retreat

Everything you have paid becomes credit toward any SpiritFlow retreat or session, valid for 12 months. No fee.

15 to 45 days before

Everything you have paid becomes credit toward any SpiritFlow retreat or session, valid for 12 months, less a $100 administration fee.

14 days or fewer, or if you do not arrive

The 50 percent deposit is not recoverable. Anything paid above the deposit becomes credit, valid for 12 months, less a $100 administration fee.

Private Retreats and SpiritFlow Sedona Casita

A private retreat holds whole days of my calendar and often a specialist's as well, and those days cannot be refilled at a week's notice.

46 days or more before the retreat

Everything you have paid becomes credit toward any SpiritFlow retreat or session, valid for 12 months. No fee.

31 to 45 days before

Everything you have paid becomes credit toward any SpiritFlow retreat or session, valid for 12 months, less a $100 administration fee.

30 days or fewer, or if you do not arrive

The 50 percent deposit is not recoverable. Anything paid above the deposit becomes credit, valid for 12 months, less a $100 administration fee.

Sessions, Classes and Courses

Individual sessions

This covers Reiki and sound healing, sound baths, Brennan Healing Science, Spirit Mentoring and Energy Therapy, and chakra balancing. Healing intensives
have their own terms, below.

Your deposit is refunded, less a $20 administration fee.

Inside 48 hours, or if you do not arrive
The 50 percent deposit is not recoverable. Nothing further is owed.

Arriving late

Your session ends at the time it was scheduled to end. I hold that hour for you and often have someone after you, so a late start means a shorter session rather than a later finish. If you are running behind, text me at 928 821 9061 and I will do what I can.

Group classes and group sound baths

  • Seats are reserved when paid. If you need to cancel, let me know at least 24 hours before and we will move you to another date.
  • Inside 24 hours the seat is held for you but cannot be moved, because it is too late to offer it to anyone else.
  • If I have to cancel a class, you choose a full refund or credit, with no fee. This is the one case where I do refund cash, because the cancellation is mine and not yours.

Courses

A course is a sequence, and the sessions build on one another. If you need to step out of a course after it has begun, write to me. The sessions you have not yet taken become credit toward anything else at SpiritFlow, valid for 12 months, with no fee. If you miss a single session in a running course, I will give you what you missed in your next one wherever that is possible.

Healing Intensives

A healing intensive is five hours of one continuous day, and it is the only booking here where the deposit comes back to you as money rather than as credit.

A 50 percent deposit holds your date. The balance is due on the day, before we begin.

Seven days' notice or more Your deposit is refunded, less a $20 administration fee. If you would rather keep it as credit toward anything else at SpiritFlow, the $20 fee is waived.

Inside seven days, or if you do not arrive The deposit is not recoverable, and nothing further is owed. You will not be billed for the balance.

Why seven days and not 48 hours An intensive holds five hours of a single day, often a weekend day, and once it is on the calendar I turn other work away for it. Five hours cannot be refilled at two days' notice the way an hour can. Your workbook is also printed and hand-bound before you arrive.

Arriving late Your intensive ends at the time it was scheduled to end. I hold the whole five hours for you and often have work after it, so a late start means a shorter day rather than a later finish. If you are running behind, text me at 928 821 9061 and I will do what I can.

If you have chosen the optional vortex hike The hike sits inside the five hours, so weather never costs you the day. If the weather turns, I make the call early, by 7pm the evening before an 8am start and by 9am on the day for a 2pm start, and I reach you by text and by email. You then choose: we bring the same five hours indoors at SpiritFlow Sedona, we move the day to another date at no cost, or your payment becomes credit valid for 12 months with no fee. Because the indoor version is a complete five hours in its own right, moving inside is a change of setting rather than a cancellation, and no fee applies. I will not take you out in lightning, flash-flood conditions, unsafe heat, snow or ice on the rock, or when the Forest Service or the City of Sedona has closed a trail.

Outdoor Experiences

Vortex hikes, Reiki and sound healing on the red rocks, and sound baths on the red rocks all depend on the weather and on the trails being open. Neither is mine to control, and both change quickly here.

If the weather does not cooperate

I make the call, and I make it early, by 7pm the evening before a morning experience and by 9am on the day for an afternoon one. I will always reach you by text and by email.

When I make that call, you choose:

  • We move the experience to another day at no cost.
  • We bring the same work indoors at SpiritFlow Sedona. Same length, same care, different setting.
  • Or your payment becomes credit valid for 12 months, with no fee.

A relocated experience is not a cancellation, and no fee applies to it. If I move us indoors and you would rather not come at all, tell me and it becomes credit.

What I will not take you out in

Lightning. Flash-flood conditions during monsoon season. Heat that makes the trail unsafe rather than merely uncomfortable. Snow or ice on the rock. Trail or road closures decided by the Forest Service or the City of Sedona. In every one of these cases you get the three choices above.

Your part in this

Please come in shoes with grip, bring more water than you think you need, and tell me before we set out about anything that affects how you move, breathe or manage heat. If you arrive without water or in unsuitable footwear, I may have to move us indoors, and that is treated as a relocation rather than a cancellation.

If we are already out and you would rather turn back, we turn back. I will not ask you to continue. Where it is possible I will finish the work indoors at SpiritFlow Sedona instead, so you still get your full time.

How Credit Works

    • Credit is valid for 12 months from the date you cancel.
    • It can be used toward any SpiritFlow retreat, healing intensive, session, class or outdoor experience, not only the kind of booking it came from.
    • It may be moved once.
    • If the new booking costs more, you pay the difference. If it costs less, the balance stays as credit until it expires.
    • Credit is not transferable to another person and is not redeemable for cash.

    How to Cancel

    Email me at info@spiritflowsedona.com. The date your email arrives is the date that applies. For a healing intensive, session, class or outdoor experience inside seven days, text me at 928 821 9061 as well, so that I see it in time. Please do not cancel by voicemail alone. I want us both to have it in writing.

    If Life Happens

    Illness. A death in the family. A flight that never leaves. I have been doing this long enough to know these are not excuses. If something serious happens, write to me and tell me. What is above is what I promise in writing. It is not the limit of what I am willing to do.
